Who is responsible
This notice applies to systemiseyourtrade.com. The site is run by Paul Hampton, a sole trader trading as Systemise Your Trade, who is the controller of the personal information processed for this website. In the rest of this notice he is called Paul. For privacy questions or requests, email info@systemiseyourtrade.com.
What this site does and does not collect
You can read the guides and use the planning tools without signing up. There are no account, newsletter, contact-submission or checkout facilities. The missed call calculator and software checklist have on-page input controls, but their answers are processed in the browser, not submitted to Paul or a supplier. This site code does not save those answers in cookies, local storage or session storage. The site does not save tool answers, although your browser may restore form state during history navigation. Use Reset to clear the current answers. Do not enter customer names, telephone numbers, addresses, job records or other personal or confidential details.
This does not mean that visiting the site involves no personal information. Delivering the website involves technical request data, and emailing Paul involves correspondence. Your browser or device may retain browsing history, cached data or copies you choose to print or save outside the site’s own controls.
Technical access information
The website and its domain email use Namecheap hosting services. Hosting, email and network providers process technical information needed to deliver and protect their services. This can include IP addresses, request times, requested URLs, browser information, response status and diagnostic or security records.
For Paul’s processing, the lawful basis is legitimate interests in delivering the website, keeping it available, preventing misuse and investigating faults, balanced against visitors’ privacy. This does not authorise behavioural advertising. Providers may also process information under their own responsibilities. See Namecheap’s privacy policy.
If you email
Paul receives your email address, the name you provide, message content, attachments and associated correspondence details. These are used to answer questions, review corrections, handle privacy requests and keep an appropriate record of the exchange. Routine correspondence is handled on the basis of legitimate interests in responding and managing the project. Where processing is necessary to meet a legal obligation, such as responding to a valid data-rights request, that obligation is the basis instead.
Email is voluntary. Without a reply address or enough relevant detail Paul may not be able to respond. Please send only information needed for your enquiry and do not send sensitive customer records or special-category personal data. An enquiry does not subscribe you to marketing.
Who may receive information
Information may be handled by providers of hosting, network delivery, security and email services, and by professional advisers where needed. Information may also be disclosed where legally required or necessary to establish, exercise or defend legal claims. Tool answers are not sent to those providers by this site code. The provider receives the page request, not a submission of your calculator answers.
Namecheap provides the hosting and domain email services. They handle technical data through their services and sub-processors. Hosting, email and analytics services may involve processing outside the UK. Where personal information is transferred outside the UK, the provider must use a safeguard recognised under UK law, such as UK adequacy regulations or approved contract terms. Their privacy policies explain which safeguards they use.
Retention and international handling
Paul retains correspondence for as long as needed to resolve an enquiry, handle follow-up or complaints, and meet applicable legal or record-keeping obligations. Relevant records may be kept while a dispute or legal obligation remains unresolved. Information should then be deleted when no longer needed.
Hosting and email providers manage operational logs and backups under their service terms. Deleting correspondence from the mailbox does not necessarily remove provider backups immediately. Contact info@systemiseyourtrade.com for questions about retention and provider handling.
Your right to object
You have the right to object to processing based on legitimate interests on grounds relating to your particular situation. Email info@systemiseyourtrade.com and explain which processing you object to. Paul must stop that processing unless he can demonstrate compelling legitimate grounds that override your interests, rights and freedoms, or the processing is needed for legal claims.
Your rights and complaints
Depending on the circumstances and the lawful basis, you may ask to access your personal information, correct it, erase it, restrict its use, object to processing based on legitimate interests, or receive portable data where that right applies. Where processing relies on consent, you may withdraw it without affecting the lawfulness of processing before withdrawal. Rights are not absolute. Paul may need proportionate information to confirm identity or clarify a request.
Contact info@systemiseyourtrade.com. Requests should normally be answered within one month, subject to the lawful timing rules and any permitted extension, which will be explained. You may also complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or on 0303 123 1113.
Optional analytics and consent
On this site, Google Analytics 4 loads only after you accept analytics. Consent is the lawful basis for this optional usage measurement, which helps Paul understand website usage and improve the guides. Rejecting has no effect on access to the site.
Google may receive cookie identifiers, device and browser details, usage events and network information needed to deliver analytics requests. This integration sends a page location without query strings or fragments and an empty page referrer. Google signals and advertising personalisation are disabled. The consent preference lasts up to 180 days; analytics cookies are configured for 180 days without automatic expiry renewal. These durations do not specify Google's server-side retention.
Google provides the optional analytics service and may process information outside the UK. See Google's privacy policy and Google's data processing terms.
Use Cookie settings in the footer and choose Reject analytics to withdraw consent at any time. Loaded pages reload to stop the Google code, accessible analytics cookies are cleared, and other open tabs on the same origin receive the choice. Withdrawal does not affect the lawfulness of prior processing or erase data already received by Google. See Cookies and storage for details.
The planning tools do not make automated decisions with legal or similarly significant effects. Their own calculation code does not submit your answers.
